Full Service Transaction Management

(Contract to Close)

 

  • Coordinate opening of the file with title and handle all documents securely.

  • Calculate contract deadlines and create a timeline for all parties. Update deadlines due to any changes in the contract.

  • Introduction emails including contract timeline and a copy of the executed contract sent to the agent, buyer/seller (whichever you represent), lender, and title company.

  • Ensure everything is fully executed with dates, initials, signatures, and broker information throughout the transaction.

  • Submit all required contract documents to the broker for compliance.

  • Send/request disclosure packages and gather signatures if needed.

  • Ensure the lender, title company, and broker receive any amendments or changes to the contract.

  • Verify earnest money was delivered to title.

  • Order inspections when working with the buyer (if desired by agent).

  • Confirm inspection date and time, and that this is set up in accordance with the offer deadline.  Ensure all appropriate parties have received reports to review.

  • Follow up on repairs to collect and provide receipts to all parties.

  • Keep in regular contact with the title company and lender throughout the transaction. Provide agent email updates on the status of the transaction keeping you informed.

  • Order and collect HOA documents in accordance with deadlines and email them to the buyer’s agent (if seller side) or to the buyer (if buyer side).

  • Order Home Warranty per contract if needed.

  • Request due diligence docs per contract.

  • Monitor appraisal timeline and completion with the lender.

  • Provide buyers with utilities questionnaire from seller if received.

  • Coordinate and monitor buyer’s loan status with lender.

  • Ensure your customer (buyer/seller) is provided with a copy of all documents.

  • Ensure CDA (Commission Disbursement Authorization) is drafted and sent to title.

  • Provide all disclosures, documents, and reports to the agent’s online transaction management service as they are received or fully executed throughout the transaction.

  • Maintain constant contact with all parties involved for status updates as well as outstanding items.

  • Verify title company has all required documentation.

  • Coordinate and confirm final walk-through.

  • Schedule closing and send email with closing time & location information.

  • Weekly transaction and milestone updates sent to both the agent and their clients.

  • Conduct a final audit of the file prior to closing to ensure all documents are uploaded and the file is complete.

  • Confirm the transaction is fully funded and closed.

  • Upload final signed settlement statement to online transaction management service for compliance.

  • Ensure MLS status changed to Sold.

Listing Management

(Listing Agreement to Live)

 

  • Agent must provide an executed listing agreement for this service.

  • Prepare all required listing documents and disclosures and send them to customers for signatures.

  • Add listing information into the MLS and save it as incomplete for agent review (agent to provide listing comments and description).

  • Schedule cleaner before photos (if applicable).

  • Schedule a stager for consultation (if applicable).

  • Schedule photographer for photo shoot once house is staged (if applicable).

  • Add and organize professional photography to MLS listing in an appealing order.

Ask agent if they would like a coming soon in MLS (up to 7 days prior to going live).

  • Enter Open House information into MLS so this can syndicate out to other websites

  • Obtain and add required documents to the MLS listing such as disclosures, survey, Seller’s Property Disclosure, etc.

  • Order HOA documents (if applicable).

  • Have the listing agent edit or approve MLS input before going live.

  • Email the seller a copy of the listing once active in the MLS.

  • Enter showing instructions and information into ShowingTime once the property is in the MLS.

  • Add all listing documents, disclosures, and any other required documents to the broker’s online compliance management ensuring the file is complete.
